Use three cost layers

Separate one-off setup costs, fixed monthly costs and variable per-order costs. This prevents a low subscription price from hiding development, apps, payment, shipping, returns and marketing expenses.

Platform and plan costs

Compare plans using required staff access, reporting, checkout and international capabilities rather than price alone. Record billing frequency, taxes and promotional conditions. Verify current regional pricing before publication or purchase.

Theme, design and development

Budget for theme licensing, brand assets, content production, configuration, custom sections, data migration and quality assurance. Include future maintenance; a store that only the original developer can update carries an operating risk.

Apps and integrations

For each app, document the business requirement, monthly fee, usage-based charges, permissions, data flow and replacement plan. Include integration monitoring and troubleshooting, not only installation.

Payment and transaction costs

Model payment processing, currency conversion, chargebacks, refunds and any third-party transaction charges. Use the expected payment mix and order value for each target market.

Fulfilment, returns and support

Include storage, pick and pack, packaging, shipping, duties handling, returns, replacements and customer service. International returns can change the economics of a product even when the gross margin appears strong.

Acquisition and cash flow

Advertising, creative production, email tools and promotions should be modelled alongside payment and supplier timing. A profitable order can still create cash pressure when inventory and acquisition are paid before settlement.

Evaluate contribution per order

Calculate revenue minus product cost, discounts, payment, fulfilment, expected returns, variable software and acquisition. Use low, expected and high-cost scenarios before scaling.
